Follow these steps to connect HubSpot and Sanka so users can open Sanka ERP from HubSpot records and sync deal data safely.

Prerequisites

  • Admin access in both Sanka and HubSpot (or permission to approve app connections).
  • Aligned field names for key items such as amount, start date, billing cycle, and order status.
  • One test Deal and Company for validation.

Connect and authorize

  1. In Sanka, go to Workspace > Integrations > Create integration, choose HubSpot, and start the flow.
  2. Sign in to HubSpot and approve the connection. Confirm the HubSpot account appears in Sanka’s integration list.
  3. In HubSpot, add the Sanka ERP card to Deal/Company/Contact views and select the Sanka workspace. Verify the card opens Sanka in context.

Basic sync settings

  • Stage mapping: Align HubSpot Deal stages with Sanka order statuses so updates stay consistent.
  • Property sync: Sync only the fields you need (amounts, dates, billing cadence). Exclude extras to keep data clean.
  • Import mode: Start with “create only” for first runs; switch to “create and update” once the process is stable.

Go-live checklist

  • Open Sanka from a HubSpot Deal and confirm quotes, invoices, or inventory show the correct record context.
  • Import the test Deal into Sanka and create a sample invoice or PO to validate permissions.
  • Review access: sales as viewers, back office as editors, with clear ownership for approvals.
  • Revisit mappings whenever you add pipeline stages or change product master data.
